Can I check out a program before I commit to buying it?
Yes. We have a demo system that is available for prospective clients to view the program. Contact us for login information.
What training resources are available to me?
We have produced a training system for new users so that they can practice using the program without fear of changing real data. Each "live" system has its own accompanying training system so that users can familiarize themselves with the program. We also offer onsite training, WebEx training, and training videos.
How do I know that WebIEP will produce a compliant IEP?
WebIEP has over 350 validations that perform error and warning checks on IEPs for consistency, completion, and compliance. These validations check all data fields, including free-form text fields, to ensure there is content where there should be content and that required fields are completed. This way, users can see a list of what remains to be done in order to finalize an IEP.
How do I know that Web504 will produce a compliant plan?
Web504 has over 160 validations that perform error and warning checks on 504 plans for consistency, completion, and compliance. These validations check all data fields, including free-form text fields, to ensure there is content where there should be content and that required fields are completed. This way, users can see a list of what remains to be done in order to finalize a 504 plan.
How do I know whether I am supposed to be participating in a particular 504 plan?
Prior to a 504 meeting, Web504 sends email notifications to teachers when one of their students has a 504 plan coming up for a review or is being evaluated to determine eligibility. The teacher is asked to complete a teacher feedback form, indicating their own observations of the student and his or her general performance. Teachers receive these notifications pertaining only to their students.
How do I know if one of my students has a 504 plan?
After a 504 meeting has been held and the student is deemed eligible or has received an updated plan, teachers receive an email requiring them to log into Web504, read and acknowledge the 504 plan, and implement it. Teachers may be given access to view any student's 504 plan at their school so that if the teacher has some contact with a student, he or she is able to read that student's 504 plan.
How many plans can be stored in a student's online history?
While an unlimited number of histories can be stored online, it is typical to keep the last 3-5 years of historical IEPs or Section 504 plans available.
How do I store a student's pre-WebIEP/pre-Web504 history in the system?
WebIEP and Web504 have a non-system history feature wherein users can attach a PDF of a student's historical IEPs and 504 plans to be included in his or her history. This means that if a student has had an IEP or 504 plan in the past, that student's previous IEP and 504 records can be uploaded to WebIEP or Web504 in order to keep their history all in one place.
What is a "plan status," and how is a status determined?
"Statuses" indicate the condition of an IEP or 504 plan. They are determined by different options and selections made within each individual plan. For instance, if a plan is under development, the status will show as "In Progress." If a plan has successfully passed the validation process and has been stored to history, the status will show as "Completed."
How long does it take to get a program initially set up and running?
Since WebIEP is such a customized and client-specific program, the length of time to get it up and running varies per customer. It largely depends on the amount of customization required. If a client elects to use the California State Template forms, WebIEP can be up and running fairly quickly. Similarly, if a client elects to use the standard Section 504 forms already included in Web504, setup will be fairly speedy. If you desire to use your own forms, our programs can be customized to fit your needs.
How much do the programs cost?
The cost of WebIEP or Web504 for a district, county, or SELPA (California) is based on a student count (not including exited students), as well as options selected and number of districts included. A number of features can be added to the standard package. For a large group of districts within a county or SELPA participating together in Web504, we can offer a discount. What states use your programs?
FMS is 100% compliant with California's CASEMIS reporting requirements for student data, services, discipline, and post-secondary. While designed to meet the CASEMIS reporting requirements of California SELPAs, we are open to working with other states.

How secure is my data?
Student data is transmitted, accessed, maintained, secured, and released in conformance with the Family Educational Rights and Privacy Act (FERPA). For more information, click the link below.
Who owns my data?
The data entered into the program is owned by the district, county, or SELPA (California). The district, county, or SELPA is given a license to use the WebIEP software. Web504 is licensed at the district level.
Is the data encrypted?
All data that is traveling from the WebIEP and Web504 servers to the user's computer (and vice versa) is encrypted for security.
How many users can a district or SELPA have in the system?
There is no limit to the number of users or students in WebIEP or Web504.
How are teacher caseloads maintained in WebIEP?
Teacher caseloads can be automatically populated from the MIS teacher class database. An administrator can generate caseloads by selecting those teachers which utilize caseload-level security.
How can I add students to the programs?
The standard package of WebIEP or Web504 allows for adding students manually. We also offer an optional feature (at an additional cost) that communicates with the District SIS (Student Information System) to import a student during the "Add Student" process. This import pulls in key demographics which improves accuracy of data when setting up the student.
